Privacy Policy

This policy explains what personal information ksigwisconsin.org collects, why we collect it, and what you can do about it.

Effective October 10, 2026

Who we are

Kappa Sigma Building Association (“we,” “us”) runs this site for alumni, members, and prospective members of the Beta-Epsilon Chapter of Kappa Sigma at the University of Wisconsin–Madison. We are a volunteer-run organization.

Questions about this policy or your information go to info@ksigwisconsin.org.

Information we collect

We collect four kinds of information: what you type into our forms, records of your donations, alumni records we already hold, and basic technical data your browser sends.

Information you give us

  • Update Your Info form: name, email, phone number, mailing address, initiation year, employer, job title, whether you want the newsletter, and anything you add in the notes field.
  • Join Kappa Sigma form: name, email, phone number, year in school, major, hometown, and anything else you choose to tell us.
  • Event RSVP form: name, email, the event, the number attending, and your class year or the alumnus you are visiting.
  • Contact form: name, email, how you are connected to the chapter, and your message.

Donation records

When you give, we keep the date, amount, fund, and whether the gift was tax-deductible. We never see or store your full card number.

Alumni records we already hold

We keep a roster of chapter alumni built from chapter membership records. It includes names, class years, and contact details.

Information collected automatically

  • Server logs: our web host records your IP address, browser type, pages visited, and time of visit.
  • Site statistics: we use Jetpack Stats, a service from Automattic, to count visits and see which pages are read. It records the pages you view, the site that referred you, your browser type and language, your IP address, and your country.
  • Cookies: small files that keep the site working. See Cookies below.
  • Email activity: FMG, which sends our newsletters, may record whether an email was opened or a link was clicked.

We do not buy information about you from anyone.

How we use your information

We use your information to run the chapter and its alumni network, and for nothing else.

  • Keep alumni records accurate.
  • Send newsletters, event invitations, and chapter updates.
  • Plan events and keep track of RSVPs.
  • Follow up with students who are interested in joining.
  • Process donations and send receipts, including receipts for tax-deductible gifts.
  • Answer questions you send us.
  • See which pages are visited, keep the site secure, and fix problems.
  • Meet our legal, tax, and accounting obligations.

We do not use your information for advertising.

Who we share it with

We share information only with the people and services that help us run the site. We never sell or rent it.

  • Service providers: Stripe (payments), Fraternity Management Group, or FMG (newsletters), Bluehost (web hosting and email), and Automattic (site statistics and image delivery). They may use your information only to provide their service to us.
  • Chapter volunteers: alumni board members and chapter officers who need it for their role. For example, the volunteers who handle payments see donation records.
  • Other alumni: we do not publish an alumni directory. Chapter volunteers may use your city and profession to help brothers connect with one another.
  • On this site: we list the names and roles of current chapter officers and alumni board members.
  • Kappa Sigma Fraternity headquarters: we do not share your information with headquarters.
  • Legal reasons: when the law requires it, or to protect someone’s safety or our legal rights.

Donations and payments

Stripe processes every donation. When you choose a fund on our Give page, you leave this site for a secure checkout page hosted by Stripe. Your card details go straight to Stripe and never touch our servers.

Stripe handles your payment information under its own privacy policy. We receive your name, email, donation amount, the fund you chose, any billing details you enter, and the last four digits of your card.

If your gift is tax-deductible, a receipt is emailed to the address you gave, and we keep a record for tax purposes.

Email and newsletters

We email you if you are a chapter alumnus, member, or donor, or if you asked to hear from us on this site.

Every newsletter has an opt-out link in its footer that you can use at any time. You can also unsubscribe by emailing info@ksigwisconsin.org.

After you unsubscribe, we may still send messages about a donation you made, such as a receipt.

Cookies

The site uses cookies to keep it working and to count visits. We do not use advertising cookies.

  • WordPress and its plugins set cookies that keep the site running.
  • Jetpack and WooCommerce, both made by Automattic, may set cookies used for site statistics. Automattic explains its practices in its privacy policy.
  • Stripe sets its own cookies on its checkout page to prevent fraud.

You can block cookies in your browser settings. The donation checkout may not work without them.

How long we keep it

We keep information only as long as we need it for the purposes above.

  • Alumni contact records: until you ask us to remove them.
  • Newsletter list: until you unsubscribe.
  • Donation records: as long as tax and accounting rules require.
  • Join, RSVP, and contact form messages: until we no longer need them, or until you ask us to delete them.
  • Server logs and site statistics: for the periods set by our web host and by Automattic.

Your choices

You can see, correct, or delete your information at any time.

  • Update it: use the Update Your Info form or email us.
  • See it: email us and we will send you a copy of what we hold.
  • Delete it: email us and we will remove you from our records. We must keep donation records for the period above.
  • Stop emails: use the unsubscribe link in any newsletter.

Send requests to info@ksigwisconsin.org. We aim to respond within 30 days. We may ask you to confirm your identity first, so nobody else can get your records.

Depending on where you live, state law may give you additional privacy rights. We honor those requests the same way.

Security

We protect your information with HTTPS encryption and by limiting admin access to the volunteers who need it.

No website is perfectly secure. If a breach affects your information, we will notify you as the law requires.

Children

This site is for college students and adults. We do not knowingly collect information from children under 13.

Changes to this policy

We post any changes on this page and update the effective date at the top. For significant changes, we also email alumni on our list.
